Director, Women's Basketball Operations

Position Summary: Performs administrative, budgetary and planning duties for women’s basketball to include all aspects of the sports’ operations.

Essential Functions of the Job:

Function: Team Travel - Responsible for all planning and execution of all aspects of team travel including airfare, ground transportation, hotel accommodations and meal services. Coordinates logistics for both home and away game team travel; coordinates logistics for both home and away game team travel; collaborates with departments outside of women’s basketball to manage additional travel party members and accommodations; and secures contracts with outside vendors for any services needed. (35%)

Function: Scheduling - Plans, coordinates and schedules practice times, meeting schedules, off-season activities, coaches’ clinics and other special events, including meal menus, negotiating meal prices, postseason student-athlete housing and creating event itineraries; schedules and secures contracts for opponents; and works with the head coach and sport administrator to schedule according to needs of the program. (20%)

Function: Recruiting & Staff Travel - Oversee the recruiting and staff travel logistical needs for the Head Coach, assistant coaches, and remaining women’s basketball staff; responsible for planning and booking all travel arrangements; functions as expense delegate for all corporate credit card holders on staff and processes each expense report for submission; manages and coordinates all logistics for recruiting visit events including prospect and family transportation, lodging, and provided meals; secures contracts with outside vendors for any services needed; arrange and book all facilities, transportation needs, lodging and meal services; and provides logistical support for the execution of event itineraries. (20%)

Function: Financial - Manage all aspects of the women’s basketball operating budget; responsible for approval of all women’s basketball purchases and requisitions; reconciles all women’s basketball travel expenses in Concur in accordance with Tulane Policies and Procedures; oversee all travel advance needs and reimbursements; manages day-to-day office supply inventory and purchasing needs; assists Head Coach, Sport Supervisor, and business office with contract needs; works on securing and processing all contracts and invoices for services offered by outside vendors; processes all payment requests through the Business Office; secures contracts with outside vendors for any services needed; and prepares future budgets for the women’s basketball program. (10%)

Function: Liaison to Athletic Administration and Support Services - Serves as liaison to athletic administration and support service areas regarding sports’ issues; and serves as the liaison to vendors, suppliers, scouts and officials for home games. (5%)

Function: Sport Camps - Serves as the Camp Director for the women’s basketball Day Camp(s); markets and organizes the camps so that they are efficiently run and comply with Athletic Department standards and policies; databases are kept of those attending camps and all revenue/expenses derived from camps is reported to the athletic business office; and the safety and welfare of participants are monitored. All employees are hired, trained and monitored during camps activities. (5%)

Required Education and Experience:

  • Bachelor’s Degree

  • 3 years’ work experience in a sport or sports-related field, to include 2 years of travel and event-planning experience

OR

  • High School Diploma or Equivalent

  • 9 years’ work experience in a sport or sports-related field, to include 2 years of travel and event-planning experience 

Required Knowledge, Skills, and Abilities/Competencies:

  • Ability to interact effectively with coaches, administrators, student athletes and vendors

  • Extremely organized, self-starter, intrinsically motivated

  • Strong organizational, management and leadership skills

  • Proficient computer skills including word processing, spreadsheets and social media

  • Proven ability to multi-task effectively

  • Ability to prioritize assignments and meet deadlines

  • Available to work flexible work schedule including nights and weekends

  • Travel with sport teams for away contests

  • Through knowledge of NCAA and American Conference rules and regulations

Preferred Qualifications:

  • Bachelor’s Degree

  • Previous experience managing sports’ operations at the Division I level

NCAA Related:

Ensures that all Department of Athletics and University related activities operate in full compliance with university, conference, and NCAA rules and regulations. Attends and participates in scheduled compliance seminars and complies with all the Athletic Department’s efforts to monitor compliance with NCAA regulations. Seeks interpretations from the compliance staff before acting when necessary. Reports potential rules violations immediately.  Completes required compliance paperwork in a timely and efficient manner. Monitors all of their areas and/or programs activities closely to maintain compliance with applicable rules and regulations.
