
Reporting to the Senior Director, Letterwinner Engagement & Athletics Events, the Letterwinner Engagement Specialist helps lead operations of the Varsity O Association. Key functions include the management of communication and engagement opportunities for all OU letterwinners and supporting special experiences and projects.
KEY RESPONSIBILITIES:
Lead the day-to-day operations of the Varsity O Association, serving as the primary point of contact for inquiries via email, phone, and digital platforms.
Manage and maintain Varsity O digital presence, including the Varsity O Network, website updates, social media coordination, and oversight of merchandise offerings through the Varsity O Shop.
Maintain, audit, and enhance the Varsity O contact database, conducting research to verify and update missing or outdated information to ensure data accuracy and integrity.
Coordinate the administration and execution of the Student-Athlete Letter Award policy, including coordination and distribution of awards.
Coordinate and support the planning and execution of the Varsity O Tailgate, reunions, celebrations, graduations, and other engagement events involving former student-athletes and letterwinners.
Manage event registrations, reservations, and RSVP tracking for Varsity O members and letterwinner-related events.
Support the planning and execution of honors, awards, and recognition programs for former student-athletes in collaboration with internal partners.
Promote Varsity O membership benefits and develop logistical strategies to grow and sustain active membership participation.
Provide timely, professional, and relationship-focused communication with current and former letterwinners, reinforcing long-term connection to Oklahoma Athletics.
Assist with the management, coordination, and fulfillment of the Sooners For Life scholarship endowment program in alignment with donor intent and advancement priorities.
Collaborate with the Sooner Club and Athletics Ticket Office to fulfill ticketing, seating, and event-related requests for former student-athletes.
Assist with stewardship, recognition, and engagement initiatives for letterwinners in partnership with Athletics Advancement and development staff.
Support the development, tracking, and management of the Varsity O budget, including expense monitoring and reconciliation.
Assist with the execution of game-day logistics supporting letterwinner engagement.
Maintain strong working relationships with athletics department staff to ensure Varsity O initiatives align with broader student-athlete and alumni engagement strategies.
Ensure all activities align with the mission, core values, and brand standards of Oklahoma Athletics and the OU Foundation.
Champion and promote the student-athlete experience in all donor engagement and acknowledgment initiatives.
Maintain a thorough understanding of and adherence to NCAA and SEC rules and regulations; promptly report any violations or suspected violations to compliance staff.
Maintain a standard in-office work schedule to support in-person engagement with current and prospective Sooner Club members and letterwinners.
Perform other related duties as assigned by the Senior Associate Athletics Director and Executive Director.

Knowledge, Skills, Abilities
Excellent written, verbal, and interpersonal communication skills with the ability to interact professionally with letterwinners, campus partners, and university constituents.
Demonstrate commitment to providing elite customer service with strong emotional intelligence and professionalism.
Strong organizational and project management skills with the ability to manage multiple projects simultaneously while maintaining accuracy and attention to detail.
Ability to work both independently and collaboratively in a team-based environment while maintaining high standards of professionalism, discretion, and confidentiality.
Experience with CRM systems, database management, and Microsoft Office products.
Ability to initiate and maintain effective relationships with campus partners, administrators, donors, faculty, and students.
Ability to solve problems in live-event environments and adapt quickly to changing needs.
Knowledge of alumni engagement best practices.
Experience working in higher education or a similarly complex nonprofit organization preferred.
Ability to represent and effectively communicate the mission and priorities of the University.
Willingness to work evenings and weekends as required for events and donor/letterwinner engagement.
Equivalent Education/Experience
Bachelor's degree
1-2 years of experience in donor/alumni relations, customer engagement, hospitality, or a related field; experience in collegiate athletics or higher education preferred.
SALARY RANGE:
Salary commensurate with experience.
