Fueling Station Operations Manager

The Fueling Station Operations Manager serves as the central hub for all logistical, operational, and daily execution functions within the UT Athletics Performance Nutrition Department. Working in close partnership with 1883/Sodexo, this role is designed to ensure that all fueling stations across the athletics complex are consistently stocked, operationally excellent, and compliant — freeing the Registered Dietitians (RDs) to focus exclusively on athlete-centered nutrition counseling, education, and performance programming.

 

This is a high-impact, systems-driven role requiring strong organizational skills, leadership of student and volunteer staff, a working knowledge of food service operations, and the ability to execute independently across multiple locations and shifting priorities.

Core Areas of Responsibility

1. Fueling Station Operations & Quality Control

  • Conduct daily open/close inspections; enforce cleanliness, labeling, and FIFO rotation standards

  • Keep stations fully stocked and troubleshoot issues (equipment, signage, access) in real time

  • Maintain station logs and report recurring issues to the Director

2. Inventory Management & Procurement

  • Own the full inventory cycle: forecasting, ordering, receiving, reconciling, and setting par levels

  • Verify deliveries for accuracy/cold chain, manage storage/rotation, and track expirations to reduce waste

  • Supplements: maintain a separate log, order only with written RD approval, and flag concerns via Teams — never resolve independently.

3. Financial Administration & Vendor Relations

  • Own all procurement across vendors (cost pass-through model); place orders within monthly budget caps

  • Submit an itemized monthly invoice (by the 5th) with receipts; flag discrepancies before submitting

  • Track allotment-based vendors (Gatorade, Muscle Milk) in real time and alert leadership at 25% remaining

4. Nutrition Operations Assistant & Volunteer Staff Management

  • Recruit, train, schedule, and supervise NOAs and volunteers

  • Publish weekly schedules aligned to deliveries, training, and competition

  • Handle coverage gaps and conduct performance check-ins

5. Delivery Logistics & Route Management

  • Coordinate daily/weekly delivery routes from central receiving to all stations

  • Maintain department vehicles (maintenance, cleanliness, usage logs) and ensure safe driving compliance

  • Communicate real-time delivery updates to RDs/staff

6. Food Safety & Regulatory Compliance

  • Ensure compliance with FDA/Texas DSHS regs; maintain HACCP docs and temperature logs

  • Coordinate allergen labeling and serve as primary contact for Sodexo food safety audits

  • Maintain ServSafe certification; ensure all food-handling staff are trained and certified

7. Departmental Support & Communication

  • Attend weekly ops meetings with RDs/Sodexo; proactively flag availability or delivery concerns

  • Support menu planning, special events, and game-day/travel fueling logistics

  • Own "Recruit Ready" station presentation and maintain SOPs/operations manual
