Athletics Program Operations Manager

The Athletics Program Operations Manager is responsible for coordination of Pointer game day activities including event setup, visiting team and officials’ communication, sponsorship activation and special events. The manager may also provide leadership at campus events held within UWSP Athletic Department managed facilities and occasional third-party events or rentals. This role will have sports oversight, student and staff supervision, reports directly to the Athletic Director, and serves on the senior leadership team.

Event Planning (35%)

·      Develop strategic plans, goals, and measurable objectives for areas of oversight

·      Maintain a comprehensive policy and procedure manual for UWSP events including event setup diagrams, check lists, visitors guides and contingency protocols

·   Coordinate all aspects of UWSP athletic events (e.g. facility setup, ticketing, security, parking, visiting team and officials’ accommodations, corporate sponsor details, etc.) and lead weekly event management team meetings to communicate these specifics to colleagues

·  Coordinate event management responsibilities ensuring adequate coverage at each event.

·    Conduct facility tours with potential clients or event organizers

·    Prepare post season bid documents and tournament manuals

·    Determine and authorize event related expenses and prepare post event reports

 

Event Execution & Staff Supervision (45%)

·         Direct and supervise operations for UWSP athletic game days and special events ensuring positive guest and visiting team experiences.

·         Directly oversee setup, supervision and tear down for events

·         Oversee event security and ticket operations

·         Serve as primary contact on game day for visiting teams, officials, etc.

·         Implement marketing initiatives/ sponsorship activation as required

·         Hire, train, supervise and evaluate event staff responsible for event setup and strike

·         Train and guide professional staff that serve in game day management roles

·         Contribute to campus student development goals by helping students recognize their responsibility and accountability in the event execution process

 

Sport oversight (10%)

·         Provide guidance and support to assigned sport head coaches, including serving as a liaison between them and the Athletic Director as needed.

·         Assist assigned sport head coaches with budget development and budget management providing monthly status reports and feedback.

 

Additional duties (10%)

·         Serve as part of the Athletic Department’s administrative team providing guidance, leadership and feedback on department wide goals and objectives

·         Serve as a backup for facility scheduling and turf light scheduling

·         Maintain event equipment inventory in EMS

·         Assist with department and division wide programs and initiatives

 

Knowledge and Skills

·         Must be able to work with a diverse group of constituents including colleagues in departments throughout campus, coaches, student-athletes and student employees

·         Strong organizational and communication skills required

·         Must be detail oriented and committed to proactively solving problems

·         Familiarity with collegiate athletic events including basic safety expectations

·         Ability to work nights, weekends and holidays
