
MAJOR DUTIES
Plans and coordinates, staff, schedule, budget, supervision, and directs all logistical activities engaged in managing special events for Athletics and related University departments..
Keeps fans engaged and maintains relationships with key stakeholders such as season ticket holders, donors and alumni. Ensures a high-quality experience for all involved.
Oversees and plans special events, which may be athletic or social in nature.
Serves as the primary point of contact for special interest athletic support groups. Assists with related communications and special events as it relates to these groups. Participates in related administrative meetings.
Responsible for working with internal and external constituents as it relates to marketing and promoting special events.
Compiles and provides cost summary of events. Verifies and compiles event attendance and shares findings with supervisor and other staff as needed.
Understands significant financial duties in regards to reservation and reconciliation of events. Responsible for creating and tracking event budgets.
Ensures compliance with internal policies and maintains internal processes and standards.
Works with internal and external individuals and vendors in all aspects of special event coordination. Purchases and maintains inventory of equipment and supplies as it relates to all assigned special events.
MINIMUM QUALIFICATIONS
Bachelor’s degree in related field from an accredited institution.
One year’s relevant experience.
Experience in hospitality, event planning in sports or entertainment industry, or athletic arena event management.
Ability to work irregular shifts and extended hours, including weekend and holidays.
DESIRED QUALIFICATIONS
Master’s Degree in Hospitality Management, Sports Administration or similar discipline from an accredited institution.
Three years’ relevant experience.
Experience in a Division I, FBS athletic program.
Experience with Adobe Illustrator, CAD, and/or Photoshop as it relates to event invitations and signage.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
Light work with some physical demands such as continuously lifting or moving materials less than 25 pounds, but rarely moving more than 25 to 50 pounds.
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
